How to find duplicate customers via Fuzzy Lookup

Modified on Fri, 23 Aug at 4:06 PM

You can use the Fuzzy Lookup function on Excel to find duplicate customers so that you can merge them.

Please note, this only works if you have HB_/Skynamo-created customers that you want to merge into your integration customers (i.e. customers that are pulled from your ERP system).

You will first need to install the Fuzzy Lookup extension for Excel. You can find the download link and instructions here: https://www.microsoft.com/en-us/download/details.aspx?id=15011

Once you have the extension installed, you will need to close your Excel and reopen it for the extension to load.

On your Skynamo web interface, navigate to your Customers page and download your Customer list:

Open the customer list and click Enable Editing at the top. Then, delete all of the columns except your "Code" and "Name" columns so that it looks like the below:

Select Column A (the Code column) and click on Sort & Filter -> Filter:

Click the dropdown arrow -> Text filters -> Begins with...

Type in HB_ and click OK. This will then give you a list of all of your Skynamo-created (HB_) customers. These are all of the customers that only exist on Skynamo and not on your ERP system:

Copy these customers and paste them into a new sheet

Back on the first sheet, click on the Filter icon and clear the filters:

Click the Filter icon again -> Text filters -> Does not contain...

Type in HB_ and click OK. This will then give you a list of all of your ERP/ non Skynamo-created customers.

Copy this list and paste it on your second sheet in column J and K. Your second sheet should then look like this:

Select Column A and B and click Ctrl + T on your keyboard and click OK on the popup on the screen. Then, select Column J and K and click Ctrl + T on your keyboard again. Click OK on the popup. Your file should then look like this:

Click in D1 with your cursor, as this is where the Fuzzy Lookup data will be populated. Then, click Fuzzy Lookup at the top:

Select Fuzzy Lookup:

In the Fuzzy Lookup tab on the right, make sure Name and Name is selected and click the Fuzzy Lookup icon. Then, click Go:

Your Fuzzy Lookup will then run. Once it has been completed, you can delete everything on the Excel file except Columns D-H (i.e. the Fuzzy Lookup data):

Select the Similarity column (Column E), click on Home and change it to Percentages:

Then, in Column E, apply a Filter and filter it from Largest to Smallest:

You will now have a list from most similar by name to least similar by name that will help you identify which customers are similar enough to merge.
