How to add Skynamo Call Cycles in bulk using Excel

It might take long to add an entire month, or even longer, schedule individually to your Skynamo calendar. You can use an Excel spreadsheet to import a cycle to Skynamo. If you have permissions to do so you can import it yourself, or you can provide the Excel sheet to your management team and they will be able to upload it for you.

 

You can also add recurring schedules this way.

Attached is the template, but I will take you through each column in this article and explain which information to input where.



1. Task Type

There are two options here, Visit or Calendar

Visit: This will create a Scheduled visit (Meeting with your customer) on your calendar

Calendar: This will create a Task in your calendar, and can be assigned to a customer or not.


2. Customer code:

You can copy and paste or type in your customer code, as it is in Skynamo. You can find this on your customer Details page.



3. Customer name:

Add the customer name exactly as it is in Skynamo. This is also in your customer Details page.

Keep in mind this is only compulsory for Visit activities, and is not required for Calendar (Task) activities.




4. User:

This will again be your Username as it is on Skynamo. Please check with your team as this could differ from your display name.



5. Due Date:

This is the date the Task or Scheduled visit needs to be completed on.

The format is: Year/Month/Day 2023/12/30



6. Comment

Add any note for the Scheduled visit or Task here. With the Task (Calendar) the comments are required.

If the Task is not for a specific customer then this is required, and you will add here what should be done.


7. Start time:

For a Scheduled visit this is an optional start time for the activity.

For a Task this is the only time needed and is the time the Task should be completed.

This time is not required for either activity. You can leave this blank.


8. End time:

If the Scheduled visit has a Start time it will need an end time as seen above. This should not be added for Tasks.

 

 

9. Reminder:

There are 4 options for the reminder. You will only receive a reminder if you add one. This will give you a push notification on the app.

One day before the time – 24:00:00

On the day – 00:00:00

One hour before the time: 1:00:00

Ten minutes before the time: 00:10:00


This last section will be if you want to set up a repeating Scheduled visit or Task. This is not required but if you want the Scheduled visit or Task to repeat you will need to add this.

10. Repeat:

TRUE – You would like the task to repeat

FALSE – You DO NOT want the task to repeat

 

11. Repeat Every 1,2,3…

A Scheduled visit or a Task can be repeated either every few Weeks or Months.

You will add the amount of weeks or months in the “cycle” here. If you are repeating a Scheduled visit every month it will be 1. If the Task repeats every 6 weeks it will be 6.

 

 

12. Week/Month

You will choose if the Scheduled visit or Task needs to be repeated weekly or monthly. If it is a bi-weekly visit it will be Week, if it is a monthly Scheduled visit it will be Month.

Below you will see 5 different repeats, 2 for a Task that needs to be repeated every 2 months, and a Scheduled visit that needs to be repeated every 3 weeks.

 

There is also 2 events that need to be repeated once a Month (1/Month) and another that repeats weekly (1/Week)


13. Ending on:

Only if you have a repeating cycle is this necessary. This will be the date it needs to end on. For repeating Scheduled visits or Tasks after a year you might want to change it, or after a quarter, so this will be the date the cycle should stop repeating.

Date format again is Year/Month/Date 2024/12/30
