How integration change-tracking and manual user assignments with active integration works

  • Updated

Every time integration triggers on the set interval (usually hourly) we compare the full data set received (customer, products, stock levels, etc.) from the ERP with the data set already loaded to Skynamo on the previous integration run. This process is called "change-tracking". If any changes are detected between the two data sets, the specific line items that were changed, are reloaded to Skynamo.

Customer change-tracking example:

Customer line from the ERP database: "Code: ABC001, Name: ABC Hardware, Address: 3 Main Road, Claremont, Cape Town, Sales Rep Code: SAL001”

The previous line received from the ERP database: "Code: ABC001, Name: ABC Hardware, Address: 3 Main Road, Claremont, Cape Town, Sales Rep Code: MAL001”

In the example above, the Sales Rep Code on the ERP has changed from MAL001 to SAL001. This would be detected as a “change” and would trigger a re-upload of this customer’s details to Skynamo.

Further to this, Skynamo’s integration interface also keeps track of changes to the user assignment mapping on Skynamo Insights. You can find an article on how to manage the user assignment on this link: https://support.skynamo.com/hc/en-us/articles/360002771998-How-to-update-User-assignments-for-integration-

When there are any changes made on the user assignment mapping a re-upload of all customers associated with the mapped Sales Rep Code that has been updated will be triggered. This is done to assign the relevant Skynamo user to the relevant ERP customers.

Important notes:

Manual user assignments: If you have integration running on user assignments, you should refrain from manually assigning users to customers on Insights, since the assignments will automatically be overridden once a change as described above is detected.

Weekly refreshes: The integration interface aims to do a full refresh (re-upload) of all data sets at the end of each week (if the Import Server's capacity allows for this). This means that all manual changes to integration-related fields (e.g. user assignments) on Skynamo may also be replaced with the ERP data at the end of each week.
