* Merges cannot be undone – it is therefore crucial to ensure that all codes are entered correctly.*
* Note that you can only merge customers from the web interface of Skynamo.
There are different reasons as to why you would like to merge customers on Skynamo. A merge lets you keep the history of both customers while removing duplicates on Skynamo.
There are certain steps that you need to go through before you can start with merging customers:
- User permissions
The first step when it comes to merging customer will be to ensure that the permissions are enabled under the user role:
Settings >> User roles >> Select the user role to edit permissions >> Enable “Merge customers (only available on web interface) ”
By default, only the account manager can edit user roles unless the account manager gives these permissions to another user role i.e. managers.
- Setting up the merge import document
You can find the merge template here.
Sheet1 will be where you populate your customer data which you would like to merge. Note that you only work with customer codes when merging customers on Skynamo:
Source |
The customer that will be merged |
Target |
The master customer |
In other words, the source is the duplicate and the target is the customer that will remain after the merge has been completed.
Say that we want to merge the 2 customers below: Customer 1 and Test 1.
Customer 1 is the main customer that I would like to keep on Skynamo so that will be the target code.
Test 1 is the duplicate that I would like to merge into Customer 1, so that will be the source.
When populating the data, please keep the following in mind:
- If you have duplicates in either the target or the source, you will not be able to complete the merge.
- Pay careful attention not to have any spaces at the end of the code as merges work on exact matches.
- If you have identical interactions (should not be the case), then merging cannot happen.
- You can only merge about 10 at a time.
- A customer with invoices in their history, cannot be merged as the Source. This request will need to be sent in to support@skynamo.com.
- To re-iterate, merges cannot be undone. Should catastrophe strike, the best we can do is revert your whole system to the previous day’s backup and have all the reps resync.
As mergers cannot be undone, it is always a good idea to make a backup of your data before importing new data. With merges, you would need to make a backup of your customers, as well as visit frequencies.
This can both be done from the web interface by going to:
- settings >> imports >> import Customers >> download all
- settings >> imports >> import Visit Frequencies >> download all
If you are sure that your Excel template has been populated correctly and you have made your backups, you are ready for step 3.
- Merging your customers
To be able to upload the merge file, you need to edit your URL. Click on the customers tab, then add the following to the end of the URL: ”/customers/merge“ as shown below:
If your URL is: https://example.za.skynamo.me, then the merge link is https://example.za.skynamo.me/customers/customers/merge.
The same applies to URLs on our UK server:
https://example.uk.skynamo.me -> https://example.uk.skynamo.me/customers/customers/merge.
Here is an example:
This now works like a normal file import. Click on browse, select your saved merge template, and then click on the blue “Merge customers” button.
If the merge was successful, you will see the screen below:
HB_CUS103 has now been merged into CUS1.
* Merges cannot be undone – it is therefore crucial to ensure that all codes are entered correctly.*
Customers can now be merged directly from the Customers Tab (With the required permissions). Follow the link below to see the new and improved customers tab
